Firm Administrator (Director of Operations)

Kolko & Casey, P.C. is hiring a Professional Law Firm Administrator (Director of Operations). This is an executive-level position that is responsible for managing and overseeing the systems that run the business and the individuals who run those systems.  

The Firm Administrator will be responsible for a wide range of activities in all phases of administration, personnel, finances, marketing, business systems and facilities/tenant management. You will handle key administrative responsibilities and play a key role in shaping firm culture. The Firm Administrator will work closely with the Owners on firm-wide strategy, employee engagement and retention, systems development, accounting, HR issues and facilities management. 

You must have significant experience managing a team of 20+ people and a budget of a mid-size law firm.  

Compensation:
$80,000-$100,000

Responsibilities:
* Collaborate with the Owners to create the annual business plan, annual budget, strategic calendar, and regular administrative meetings  
* Track and direct management of marketing campaigns and
* Track, analyze and direct vendors with a focus on optimizing ROI
* Supervise, lead, and engage employees
* Human Resources compliance including recruitment and onboarding, payroll, benefits administration, management of pay and bonus structures
* Oversee annual performance reviews for all employees
* Create and improve critical business systems to ensure profitable operations 
* Analyze key financial reports and KPIs to identify inefficiencies  
* Improve internal financial controls and financial systems 
* Vendor and facilities management 

Qualifications:

* Be able to identify issues and priorities quickly and communicate them effectively 
* Be able to “manage up” to help the owners help you get your job done
* Strong conflict resolution/communication skills (not conflict avoidance skills) 
* Be metrics-driven and data-obsessed 
* Seek out and uncover performance issues and recommend solutions 
* Have knowledge in basic IT and interest in staying current with new available technologies
* Understand Trust Accounting requirements for law firm practice 
* Ability to develop and refine operational process refinement 
* Understand ethical rules of professional responsibility (Colorado / ABA)

And have the following experience:
* Law Firm Trust Accounting (required)
* Several years of work as a Law Firm Administrator and Law Firm Office Management (required)
* Human Resources and Benefits
* Firm Administrator in firm owned property (preferred)
* Flat Fee billing/benchmarks model (preferred)

Education / Memberships
* Bachelor Degree (required)
* ALA (Association of Legal Administrators) membership (preferred)

You must be able to show evidence of your prior success with: 
* Understanding and using common business reports to make decisions (budget variance, P&L, cashflow forecast) 
* Helping businesses navigate the complexities of growth and ownership succession
* Refining business processes to improve law firm profitability  
* Using project management to ensure clients’ matters are handled appropriately, legal & ethical requirements are met, and clients receive excellent service 
* On-boarding, supervising, managing, and driving employee engagement  
* Managing Human Resources functions (recruitment, interviewing, payroll, benefits administration, management of pay and bonus structures) 
* Managing facilities, tenants, security, technology vendors  
* Ability to handle internal and external deadlines.
* Proactively managing the communications around deadlines to team members and owners.

Kolko & Casey, P.C. is seeking a Receptionist with excellent customer service skills for Front Desk Receptionist position at our small immigration law firm in Greenwood Village, Colorado. The ideal candidate is detail oriented, has exceptional written and oral communication and customer service skills. The candidate has strong analytical, critical thinking and organizational skills. The candidate is punctual, dependable, able multi-task and work efficiently in a fast-paced environment. Patience, an eagerness to learn and a sense of humor are preferred.

Job duties include:
* Answer telephone and manage multiple telephone lines
* Greet clients
* Maintain office reception area and conference rooms, adhering to COVID 19 health safety protocols
* Coordinate and schedule client meetings and new client consultations
* Process mail
* Create and open files
* Support attorneys and staff to coordinate client communications
* Utilize Case Management system to complete case notes, set/review reminders, calendar cases, etc. Utilize Outlook for email correspondence 
* Protect client confidentiality
* Work under supervision of attorneys and Office Manager

REQUIREMENTS:
Experience: Prior administrative or office experience preferred
Language: Spanish fluency language (Required)
